This policy explains how AwardPro ("we", "us", "our") collects, uses, and protects your personal information when you use our platform.

We collect information you provide directly — such as your name, email address, organisation name, and profile photo when you create an account or use our services. We also collect usage data such as pages visited, features used, and device information to help us improve the platform. This includes IP addresses, browser type, and referring URLs collected automatically through cookies and similar technologies. For billing customers, we collect payment information through our PCI-compliant payment processor. We do not store full card numbers on our servers.

2. How We Use Your Information

We use your information to: • Provide, operate, and maintain the AwardPro platform • Send transactional emails (account verification, nomination updates, winner announcements) • Respond to support enquiries • Analyse usage to improve our product • Comply with legal obligations We do not sell your personal data to third parties.

3. Data Sharing

We share data only in limited circumstances: • With service providers (hosting, email delivery, analytics) who process data on our behalf under appropriate data processing agreements • When required by law or to protect the rights and safety of AwardPro or our users • In connection with a merger or acquisition, in which case we will notify affected users Organisation administrators can access nomination data, scores, and member profiles within their organisation's account.

4. Data Retention

We retain your data for as long as your account is active or as needed to provide services. After account cancellation, data is retained for 30 days to allow export, then permanently deleted. Audit logs are retained for 7 years where required for compliance purposes. Anonymised analytics data may be retained indefinitely.

5. Cookies

We use essential cookies for authentication and session management. We also use analytics cookies (with your consent where required) to understand how users interact with our platform. You can control cookie preferences in your browser settings. Disabling essential cookies will prevent you from logging in.

6. Security

We implement industry-standard security measures including: • Data encryption in transit (TLS 1.3) and at rest (AES-256) • Role-based access control with per-organisation data isolation • Regular security reviews and penetration testing • Incident response procedures Despite these measures, no system is 100% secure. We encourage you to use a strong password and enable two-factor authentication.

8. Children

AwardPro is not directed at children under 16. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.

We may update this privacy policy periodically. Material changes will be communicated via email or a notice on the platform at least 14 days before they take effect. Continued use of AwardPro after changes constitutes acceptance.
